The technical site visit: questions to ask

A useful venue visit follows the journey of your event, from the first equipment delivery to the last guest’s departure.

Start with access

With the venue’s permission, photograph doors, stairs, lifts and unloading areas. Note relevant dimensions and access hours. A delivery that cannot use the planned entrance can change the entire setup.

Check audio, video and connectivity

Identify power outlets, installed equipment and the people authorised to operate it. Ask about sound limits and neighbourhood requirements. For a presentation or video conference, arrange a realistic test using the planned materials.

Write down the backup plan

An available indoor space is not necessarily a reserved space. Have its capacity, layout and activation time confirmed. The plan should account for suppliers, furniture and guest circulation without narrowing escape routes.
