How to compare two venue quotes properly
Two venues can quote similar amounts while including very different services. A meaningful comparison starts with the same scope.
Separate venue hire from services
Ask for a price for use of the spaces, followed by a breakdown of catering, staff, furniture, technical services and security. Taxes and any minimum spend should be explicit. A per-person budget is no substitute for the full project cost.
Count the hours your guests do not see
Setup, deliveries and breakdown occupy the venue beyond the time guests are present. Check permitted access, overtime charges and cleaning conditions. Ask who will receive equipment and where it can be stored.
Check what happens if your plans change
Changes to guest numbers or dates, or a weather event, may affect the offer. Clarify deadlines, deposits, cancellation rules and backup arrangements. Compare written documents, not just the sales presentation.
